What are the Different User Types in your Portal?

FutureVault uses the concept of roles, designed to give the Administrator the ability to control what users can and cannot do within the platform inside the Company folders. Inside your portal, you will have internal users, your clients and their Collaborators.

Platform users

Each role has different permissions in regard to performing different tasks and access to some areas of the Vault.


Administrative Users (Internal)

Administrator (Admin)

An individual who manages all users and has access to all the Dynamic Document Distribution and Dynamic Checklists tools. This role can add/edit/delete other Admins and Reps, assign which client Vaults a Rep can access and manage the Corporate Vault. The VaultHolder cannot remove them, but they can give them access to their 'Personal Taxonomy' as a Trusted Advisor. By default, Admins do not have an individual Vault, but they need to have an account in the system.

Representative (Reps)

Individuals with limited capabilities and access as determined by the Administrator. Reps only have access to the 'Company’s Taxonomy' inside each Vault. The VaultHolder cannot remove them, but they can give them access to their 'Personal Taxonomy' as a Trusted Advisor. By default, Reps do not have an individual Vault, but they need to have an account in the system. 


VaultHolder/Vault's owner

VaultHolder/Vault owner: end-users/owners of a Vault (your clients). VaultHolders have access to all core functionalities of a Vault and can upload/edit/share/add reminders and delete documents filed in their Vault. They can add/edit/remove Trusted Advisor permissions at any time but cannot remove the Admin or Reps access to the Company’s Taxonomy.


Client Collaborators:

Trusted Advisor

An individual selected by the VaultHolder who has access to a specific entity, category, subcategory or area in a Vault. Trusted Advisor access can be removed or edited at any time by the VaultHolder. By default, Trusted Advisors do not have an individual Vault, but they need to have an account in the system. 

Manager

An individual selected by the VaultHolder who has the same permissions as a VaultHolder. Their access can be removed at any time by the VaultHolder. By default, Managers do not have an individual Vault, but they need to have an account in the system. 

External User

An individual who receives a secured link where they can view and download a specific document. For security purposes, their access should be temporary but is based on the settings set by the sender. By default, they do not need to have an account in the system.


Attention! Users can hold a combination of different roles. For example, Representatives can be Vault owners, or can be set up as a Manager to a clients' Vault.
