How to Add a Trusted Collaborator to a Client Vault

Administrative users (Admins or Reps at any Tier) can add Trusted Collaborators to a client’s vault. However, collaborators can only be granted access to the company folders that the administrative user already has permission to view.

Trusted Collaborators can securely access folders to upload, download, and share documents, helping streamline communication and task completion.

Steps to Add a Trusted Collaborator


Option 1: Add a New Contact and Grant Access

1. Go to the Client Vault and select the Contacts tab.

2. Click 'Add Contact +' or the "+" button in the top-right corner.

3. Enter the collaborator's name and email address, click 'Create'. 

4. After the contact is created, a pop-up will ask if you would like to grant Collaborator access to folders? 

  • Click Yes to set the Permission.
  • Click No if you are only setting a contact.

Contact created. Would you like to grant Collaborator access to folders? Yes, to set Permission, No to close the window.By default, collaborators can: View, edit, download, upload files in assigned folders, can share files via encrypted links and create file upload request links. Unless restricted to Basic Access (cannot edit, move, rename, or delete files already uploaded).

5. Choose applicable entity access

6. Select the folders you wish to grant access to.  

7. Set Expiration Date: Permissions will be automatically removed and an email will be sent to this contact.

8. Click SaveGeneral Permissions (e.g., Basic Access)  Entities they should have access to (if applicable)  Folders – click the arrow beside each folder name to expand and select. Set Expiration Date.


Option 2 - Share a Folder with a Collaborator

1. Go to the Client Vault and navigate to a specific folder.

2. Right-Click or select the 'Actions' button 'Share Folder(s) With Collaborator'. Right-Click or select the 'Actions' button 'Share Folder(s) With Collaborator'.

3. Select the Contact and click on 'Choose Contact'Select the Contact and click on 'Choose Contact'4. Confirm General Permissions. By default, collaborators can: View, edit, download, upload files in assigned folders, can share files via encrypted links and create file upload request links. Unless restricted to Basic Access (cannot edit, move, rename, or delete files already uploaded).

5. Confirm Entity and Folder access.

6. Set Expiration Date and click Save.Confirm Permission
