If your organization needs to grant the same collaborator access across multiple client vaults—such as an insurance agent, accountant, or legal advisor—the Global Trusted Collaborator feature simplifies the process. Instead of manually creating and assigning permissions for each vault, admin users can create a single collaborator profile at the company level and assign it to multiple vaults in one step.
Key Access Details:
- The permission of a Global Trusted Collaborator can be set only up to Level 2 within the vault structure
- Permissions can only be applied to folders that are part of the template structure
- They do not have access to folders created outside the template
- Access is granted at the main entity level only
- There is no auto-expiration for their access permissions
This feature streamlines collaboration while maintaining centralized control and consistency across vaults.
Add a Global Collaborator
- Go to the Users tab and click on 'Add New User+' on the top right
- Select Trusted Collaborator under "Account Type" and populate the basic details
- Enter the Account Type as Trusted Collaborator
- Fill in the Name, Email and Set Permissions
- Click Save
- An activation email will be sent to the collaborator's inbox from noreply@futurevault.com to activate their account.
IMPORTANT! If you don't assign any vault after the creation, and the user activates their account, their client list will be empty. If the user is assigned to only one vault, it will go directly to that vault. If it's assigned to multiple vaults, then the landing page will be the Client List.
Under the 'Users tab', you can see the new Global Collaborator created
Assign multiple vaults to one or more Trusted Collaborators
During creation
- The system will ask if you want to assign any vaults. Click on 'Yes'.
- Select the vaults
- Click 'Assign'
After created
- Select the clients that you want to assign, then go to 'Actions' and click 'Assign'.
- You can choose to assign one or more and click 'Assign' to complete the action.
Resend Email Activation
If you need to resend it. Go to the User tab, right-click on the user and select 'Send Activation Email.
