How to Use the File Upload Request Link Inside a Vault

The File Upload Request feature allows you to securely gather documents within your vault. This guide details how to create and manage both Generic and Specific File Upload Links.

Creating a Generic File Upload:

Step 1: Navigate to the desired folder within the Vault, right-click, and select 'File Upload Request'. Then choose 'Generic File Upload'.

Step 2: Assign a name to your Generic File Requests for easy identification.

Step 3: Remove or update the expiration date, you can also add a password for extra protection. The system won't share this password so you will need to use other method to communicate it to your client.

Email notification: the user that is creating the link will be the user getting the email notification when a person upload a file.

Creating a Specific File Upload Link:

Step 1: Navigate to the desired folder within the Vault, right-click, and select 'File Upload Request'. Then choose 'Specific File Request'.

Step 2: Customize your request:

  • Name the Request: Provide a context-specific name.
  • List Required Documents: Specify the documents needed. The name you add in this section will be added as a Label for the Document, helping you filter different types of files inside the vault.
  • Add Contacts: under - Who are you requesting these document(s) from? Select the individuals from whom you are requesting the documents. You will be able to see all the contact for this vault, add a new contact or add any email address.
  • Schedule Requests: you can choose when to send the email, this will allow you to prepare everything before.
  • Set reminders and expiration dates.
  • Password Protection: Optionally, add a password for additional security. Please be aware that our system will not transmit this password automatically. You must find an alternative method to share it

Step 3: You can copy the link or you can customize the email directly from the system and cc any team member.

Steps for Recipients:

Step 1: Click on the link

Step 2: Enter their name, email, and password if required.

Step 3: Upload the specified documents.


Managing File Upload Requests:

  • Shared Tab: Easily view, modify, or delete any file requests from the ‘Shared’ tab in the main menu.
  • Folder Levels: Create Upload File Links for Level 2 Company Folders or deeper folders; they cannot be created for parent (Level 1) Company folders.
  • Visual Identification: A label will be added to the folder, making it easy to identify folders with an active upload link.
  • Manage Links: Links will remain in the system even after expiration. Users can delete the request at any time.
  • Managing Requests: All requests can be viewed, modified, or deleted from the ‘Shared’ tab or directly from the folder.
