Managing Expiry Dates for Documents in a Vault

Managing expiry dates for documents inside a vault ensures that you can take action on specific documents, like obtaining a new driver licenses or passport from a client This article will guide you through adding, updating, removing, and resolving expiry dates for your files.

Adding an Expiry Date

Step 1 - Access the Vault & locate the Document:

Step 2 - Double-Click on the document to open it. A preview of the document will be displayed.

Step 3 - On the right side of the preview window, find the option labeled "Expiration" & click to set the date and time.

Step 4 - Click "Update" to save the expiry date.

Step 1 -  Locate and Open the Document.

Step 2 -  Click on the current expiry date to open the calendar.

Step 3 - Click "Update" to save the new date.

Remove Expiry Date:

Step 1 -  Locate and Open the Document.

Step 2 -  Click on the "X" next to the current expiry date.

Step 3 -  Click "Update" to save the changes.

Resolving an Expiring Document

Step 1 -  Locate and Open the Document:

Step 2 -  If you have taken action on an expiring document, click the "Resolved?" button.

Once the button turns blue, the document will be removed from the centralized page.

Remember to set a new expiry date for the new documents if needed.

Managing Expiring Documents

Admins and Representatives have access to a centralized page that displays all expiring files within the Admin Portal. Additionally, they can view expiring files from a specific vault using the Expiring tab inside the Vault.

Expiring Documents - Admin Portal

  • Customizing Date Range: Click on the calendar at the top to customize the date range. By default, it shows 'This month'.
  • Viewing Options: Under View Options, enable the Side Panel to preview files.
  • Exporting a List: Select all files and export the list by clicking on Actions.
  • Document Actions: Right-click on a document to preview it or resolve its expiring date.

Key Reminders

  • Always ensure you click "Update" after making any changes to save your modifications.
  • Regularly check the expiry dates of your documents to keep your vault organized and secure.
  • Utilize the "Resolved?" button to manage documents you have already addressed, ensuring they no longer appear as pending actions.
  • By following these steps, you can efficiently manage the lifecycle of your documents within the vault, keeping sensitive information secure and up-to-date.
  • If you want your client to received an automatic email 30 days before the expiration date, please contact Customer Success team to ensure you have this feature enabled.

Info! Currently, Vault owners and users managing expiring files on the Corporate Vault cannot see the centralized 'Expiring' Tab inside the vault, but they can still add expiry dates to documents. The team is working on this feature, and once it is live, they will be able to see it. We recommend starting to add these dates now in preparation.
