The Global Folders feature simplifies sharing key documents across all client vaults, ensuring consistent access to essential resources. Follow this guide to set up and manage your Global Folders.
Step 1: Set Up Global Folders
Prepare Your Folder Structure
- Share your desired Global Folder structure with your Customer Success team.
- The structure must have two levels:
- Parent Folder (Level 1): Acts as the main category.
- Child Folder (Level 2): Subcategories under the parent folder.
Design for All Client Types
- Keep the folder structure generic to suit all client vaults, even if individual vaults have varying Company Folder templates.
- Ideal use cases include:
- Disclosure documents
- Communication templates
- Welcome packages
- Training guides and videos
- General reference materials
Activate Your Corporate Vault
- Ensure your Corporate Vault is active before proceeding, as this is required for managing Global Folders.
Our Team Will Add the Structure
- Once the folder structure is finalized, the Customer Success team will implement it in your system.
Step 2: Manage Access to Global Folders
Assign Permissions in the Corporate Vault
- Log in to your Corporate Vault with the main CV credentials.
- Navigate to the Contacts tab.
- Under Users, locate team members you want to grant access to.
- Double-click their name and edit their permissions.
- Assign access to the appropriate entity and folders.
Enable the Corporate Vault Tab
- Once access is granted, team members will see a Corporate Vault tab in their Admin Portal.
Step 3: Manage Content in Global Folders
Access the Global Folders in the Corporate Vault
- Click the Corporate Vault tab in the Admin Portal.
- Locate the Global Folders, marked with your company branding and a GLOBAL label.
Add Content to Level 2 Folders
- Navigate to the Level 2 folders.
- Add subfolders or upload documents as needed.
Automatic Content Distribution
- All content added to Global Folders will automatically appear in the corresponding folders across all client vaults.
Important Notes
No Notifications for Changes
- When new content or updates are added to Global Folders, notifications are not sent to clients.
Client Vault User Permissions
- Vault Primary Owners and Co-Owners:
- Can view and download files from Global Folders.
- Cannot edit or manage folder content.
- Third-party Access:
- Similar experience as Primary Owners and Co-Owners.
- Vault Primary Owners and Co-Owners:
Full Actions Panel in Corporate Vault
- Only in the Corporate Vault can users with full access view the complete actions panel, including file history, sharing, and advanced features.
